Clients & Enquiries

Where you become a client, we may also collect information reasonably necessary to plan, coordinate or deliver the services you have requested.

Suppliers & Other Business Contacts

Outside the Directory, we may collect business contact information where necessary to communicate or coordinate with suppliers and other businesses in connection with Occasier services.

Occasier Venue & Supplier Directory

We collect additional information from businesses that apply to join or participate in the Occasier Venue & Supplier Directory.

When you use our website, certain technical information may be processed automatically by our website, hosting infrastructure and security systems.

We do not currently use Google Analytics.

We use the Meta Pixel subject to the cookie and consent choices described in this policy and our Cookie Policy.

For Directory applicants, we obtain the information used to create and administer the listing directly from the business or its authorised representative.

We do not currently create Directory listings by collecting supplier personal information independently from Google, social media or other third-party sources.

UK data protection law requires us to have a lawful basis for processing personal information.

Different purposes may rely on different lawful bases.

Contract & Steps Before Entering Into a Contract

We may process personal information where necessary to:

• Review Directory applications
• Create and publish eligible listings
• Administer and maintain listings
• Communicate with the business about its listing
• Keep Directory information accurate and current
• Administer User Offers and Occasier offer codes
• Review pricing evidence for Pricing Checked
• Deal with amendment and removal requests
• Investigate concerns about Directory content
• Protect the accuracy and integrity of the Directory
• Maintain appropriate administrative records

Lawful Basis for Directory Processing

We do not rely on consent as the blanket lawful basis for all Directory processing.

We primarily rely on legitimate interests for the reasonable administration and operation of the Directory.

Our legitimate interests include operating a useful local business Directory, administering listings requested by participating businesses, maintaining accurate Directory information, communicating with listed businesses and protecting the reliability and integrity of the Directory.

Where processing is necessary to comply with a legal requirement, we may instead rely on legal obligation.

Where a specific activity requires consent, we will request that consent separately.

Information submitted specifically for publication may appear publicly within the Directory.

Depending on the listing, this may include:

• User Offers and applicable conditions
• Pricing Checked status
• Other information clearly identified as intended for publication

Directory information may therefore be visible to anyone accessing our website.

Information Kept Private

The following information collected for Directory administration is not intended to be publicly displayed:

• Point of contact
• Administrative contact email address
• Private correspondence with Occasier
• Pricing evidence supplied solely for Pricing Checked
• Internal administrative records
• Internal notes relating to the administration or review of a listing

This information may still be used internally where reasonably necessary to administer the Directory or comply with our legal obligations.

Pricing Checked Evidence

Where a business requests or participates in Pricing Checked, Occasier may request evidence supporting the pricing information displayed on its listing.

Tom and Maggie may review this evidence on behalf of Occasier, and Occasier may retain a copy or record of the evidence reviewed.

Pricing evidence is used for the purpose of assessing and administering the Pricing Checked feature and maintaining the accuracy of the Directory.

Pricing evidence supplied privately for verification is not intended to be published unless the business has separately provided that information for public display.

User Offers

Where a business participates in a User Offer Listing, we may retain information concerning:

• The offer or discount
• Applicable terms and exclusions
• Offer codes
• Changes to the offer
• Correspondence concerning the offer
• Issues or reports concerning redemption

This information is used to administer the User Offer scheme and maintain accurate promotional information.

Who Directory Information May Be Shared With

Public listing information is made available to users of the Occasier website.

Private Directory information may be processed through our service providers where necessary to operate our website, forms, email and business systems, including our website hosting provider, Cognito Forms and Microsoft 365.

Information may also be disclosed where required by law or reasonably necessary in connection with legal claims, regulatory matters or the protection of our legal rights.

Correcting Directory Information

Businesses are responsible for notifying Occasier if information contained within their listing becomes inaccurate or outdated.

Occasier may also contact a business where we become aware that information may require clarification or updating.

Removing a Directory Listing

A business may request removal of its Directory listing by contacting Occasier.

Removing the public listing does not necessarily require the immediate deletion of every administrative record associated with it.

We may retain information where reasonably necessary for record keeping, legal compliance, dealing with previous complaints or disputes, establishing or defending legal claims, or other lawful purposes.

Any retained personal information remains subject to this Privacy Policy and applicable data-protection law.

9. Cookies & Similar Technologies

Our website uses essential cookies and similar technologies necessary for website operation, security and functionality.

You can accept or reject non-essential cookies using our website’s cookie controls.

Directory contact and administration information: while the business remains listed and for a reasonable period following removal of the listing where necessary for administration, record keeping, complaints or legal purposes.

Unsuccessful or rejected Directory submissions: normally no longer than reasonably necessary to administer the application and maintain an appropriate record of the decision.

Pricing Checked evidence: while the Pricing Checked indicator remains relevant and for a reasonable period afterwards where necessary to demonstrate the basis on which the check was made or deal with a dispute or complaint.

User Offer records: while the offer is active and for a reasonable period afterwards where necessary for administration, complaints, attribution or dispute resolution.

Complaint or Directory concern records: for as long as reasonably necessary to investigate and resolve the matter and maintain an appropriate record afterwards.

Cookie consent records: for the period reasonably necessary to demonstrate and manage users’ cookie choices.

Where a legal obligation requires information to be retained for a particular period, that requirement may override the general periods above.

We may delete or anonymise information earlier where it is no longer required.

13. Children’s Personal Information

Our services and Directory are not directed at children under the age of 18.

We do not knowingly invite children to submit their personal information directly through the Occasier website.

Information about children may occasionally be relevant to an event being organised by an adult client. Where this occurs, we aim to process only information reasonably necessary for the relevant service and in accordance with applicable data-protection requirements.
